4.1.1 販売部門は、顧客からの苦情情報の収集と、製品の非本質的品質に起因する顧客からの苦情の処理を担当します。収集された苦情情報は、適時に品質管理部門に伝達されなければなりません。品質管理部門は、製品の品質苦情の処理を担当します。処理担当者は、豊富な専門知識と業務経験を持ち、顧客の意見を客観的に評価できる必要があります。
4.1.2 すべての顧客コメントは、顧客苦情処理担当者に速やかに転送され、他の担当者が許可なくコメントを処理することはできません。
4.1.3 顧客からの苦情を受け取った場合、処理担当者は直ちに苦情の原因を突き止め、評価し、問題の性質と種類を判断し、適時に対処するための措置を講じるものとします。
4.1.4 顧客に対応する際は、処理意見を明確にし、言語や口調を穏やかにして、顧客が理解し受け入れやすいことを原則とします。
4.2顧客苦情記録の保管
4.2.1 すべての顧客からの苦情は、製品名、バッチ番号、苦情日、苦情方法、苦情理由、処理措置、処理結果などを含めて書面で記録する必要があります。
4.2.2 顧客からの苦情の傾向分析を維持します。不利な傾向がある場合は、根本原因を特定し、適切な是正措置を講じます。
4.2.3 顧客からの苦情およびその他の関連情報の記録はファイルされ、保管されるものとする。
