4.1.3Na ontvangst van een klacht van een klant zal de behandelaar onmiddellijk de oorzaak van de klacht opsporen, deze beoordelen, de aard en het type van het probleem vaststellen en tijdig maatregelen nemen om het probleem op te lossen.
4.1.4Bij het reageren op klanten moeten de verwerkingsadviezen duidelijk zijn, het taalgebruik of de toon gematigd, zodat klanten het principe begrijpen en gemakkelijk kunnen accepteren.
4.2 Klachtenregistratie van klanten indienen
4.2.1Alle klachten van klanten moeten schriftelijk worden vastgelegd, inclusief productnaam, batchnummer, klachtdatum, klachtmethode, klachtreden, behandelingsmaatregelen, behandelingsresultaten, enz.
4.2.2Trendanalyse van klachten van klanten bijhouden. Als er sprake is van ongunstige trends, identificeer dan de onderliggende oorzaken en neem passende corrigerende maatregelen.
4.2.3 Registraties van klachten van klanten en andere relevante informatie moeten worden gearchiveerd en bewaard.
